Event Planner For Event Organisers Launched Deputy Mayor, Councillor Lisa Price, launched Latrobe City’s Event Planner in the Function Room at the Traralgon Service Centre on Friday. By news@gippsland - 24th May 2004 - Back to News The Event Planner is a comprehensive guide to running a successful event for organisations and community groups in Latrobe City, and has been developed through a partnership between a number of departments at Latrobe City Council that may impact on the way an event is held.
Cr Price said that the Event Planner’s innovative design will enable event organisers to identify all the things needed to successfully and safely run their event.
"There are a series of tick-box lists and examples of documentation required to cover issues such as risk management, disability access, insurance and emergency plans, through to suggested committee structures and time frames," Cr Price explained.
"There are hundreds of events held in Latrobe City every year. The majority of these pass without incident but on occasions, problems do occur which can have serious implications for the organiser and organising body. This guide helps identify those things that might go wrong and take the steps to negate them," Cr Price said.
Manager Events Latrobe, Janiene Ayre, said that while venues, audiences, funding arrangements and the organisational structures and methods used in planning and running events can all be radically different, the basic principles of event management remain constant. "They all culminate in something out of the ordinary that involve bringing people together to celebrate and showcase activities," Ms Ayre said.
"The kinds of events the Planner is intended to cover includes street parties, parades, outdoor events, local fetes, car shows, indoor and outdoor sporting events, music events and hobby displays," Ms Ayre explained.
"It has been drawn up to provide event managers and committees with a framework that will help them successfully organise their event, while helping them think through important issues such as who the event is aimed at, how much it will cost, who pays, what market research is needed, whether customers’ needs have been analysed and the all-important how many people are needed to successfully run the event.
"The Planner also challenges organisers to identify areas for debriefing in order to better plan follow-up events. It encourages them to set targets and subsequently analyse whether those targets were met, what feedback they want after the event, whether they need to know where their participants come from, and subsequently whether their event marketing worked.
Ms Ayre said event organisers need to be aware of any current and applicable statutes, regulation, by-laws, approved and associated codes of practice relating to the event or its individual elements and to take appropriate action. "This guide is intended to act as a signpost to direct them towards the various sources of help and contacts," Ms Ayre said.
Cr Price added that Latrobe City was committed to developing and supporting events across the municipality.
"Council feels sure this guide will prove invaluable in ensuring events held in Latrobe City are successful, and result in an enjoyable experience for all those attending," Cr Price concluded.
